SIMEDHealth is looking for a Division (Office) Manager for Gainesville, Florida.

The Division Manager (DM) is responsible for the provision of quality services consistent with the philosophy,
goals and objectives of SIMEDHealth.  This includes guiding staff in the implementation of protocols and
services, assuring performance consistent with SIMEDHealth’s quality and cost effectiveness standards,
and developing marketing/liaison strategies to reach target population. 

Qualified candidates should have:

  • AA/AS degree or higher (experience may substitute for education)
  • 3-5 years minimum in a previous medical office or hospital setting.
  • 3-5 years minimum in a supervisory role
  • Previous experience in a leadership position.

The following is a basic list of duties and functions which may be required of you in your position.

General Operations:

  • Responsible for the independent management of daily clinic operations
  • Responsible for directly supervising & evaluating clinic staff
  • Schedule employees, monitor PTO, ensure clinic is staffed for operation
  • Work directly with providers, front and back office staff to maintain a consistent patient flow.
  • Responsible for training or coordinating training, and orientation for staff members.
  • Shall be trained to fill in and be able perform all the functions of the positions you are supervising.
  • Ensure compliance with OSHA/CLIA/HIPAA and provide training as needed.
  • Ensure compliance with all SIMEDHealth policies, procedures and protocols as applicable.
  • Delegate duties and assignments for positive clinic operations.
  • Maintain petty cash, confirm and sign off on all daily batches.  Follow appropriate AR Collection procedures.
  • Interact with A/R as needed to resolve patient and insurance payment issues.
  • Monitor Intergy to ensure tasks are being completed for patient care.
  • Collaborate with members of the SIMEDHealth team to resolve patient and operational issues.
  • Order clinic supplies as needed
  • Attend meetings as required
  • Ensuring clinic is prepared for daily operations (forms, supplies, etc.)
  • Work with other member of the administrative team to develop policies and protocols for clinic operations.
  • Overseeing patient appointments
  • Make sure schedules are full for the following day.
  • Assist with surgery scheduling as needed and monitor schedules to ensure that surgery schedules are full.
  • Monitor the Medical Assistants and delegate tasks accordingly to ensure that patient care is being addressed                                                                                                                                                  appropriately at all times.
  • Shall notify immediate supervisor in case of sickness, upcoming vacation, or personal days off work.

Other division specific duties may be assigned as needed

Administrative Requirements:

  • Assist the SIMEDHealth Administrative team in the development and implementation of protocols and                                                                                                                                                                  services that are consistent with SIMEDHealth’s philosophy, goals and objectives.
  • Assess and assign staff and materials to carry out objectives in a manner that is consistent with                                                                                                                                                                  SIMEDHealth’s standards for quality and cost effectiveness.
  • Evaluate the achievement of protocols and service goals and adjust implementation strategy as needed.
  • Monitor and improve staff performance via ongoing feedback, evaluation and discipline when necessary.
  • Monitor and assist physician teams in the achievement of SIMEDHealth goals and objectives.
  • Accept responsibility for the optimal performance of assigned clinics, services and divisions.
  • Report & resolve conflicts in a manner consistent with SIMEDHealth principles including those established                                                                                                                                                            by Risk Management.
  • Assist with development and recommendations of marketing strategies specific to the assigned market by                                                                                                                                                  analyzing market needs, composition, and SIMEDHealth’s abilities/strengths.
  • Assist with implementation of marketing strategies for specific population segments, including potential for                                                                                                                                                            bilingual communication and materials.
  • Represent SIMEDHealth to selected target markets personally by oral/written/visual presentation, gather                                                                                                                                                          feedback from those target markets, and apply that feedback to SIMEDHealth’s operational strategies.
  • Alert Administrative Team when local market conditions arise that may pose an opportunity or challenge to                                                                                                                                                SIMEDHealth’s success in this market.
  • Assist and support credentialing, licensing, electronic health record, applicable laws/regulations and                                                                                                                                                              SIMEDHealth policies/guidelines.
  • Observing patient and staff safety policies & procedures.
  • Carry out duties and responsibilities as assigned by the Administrative Team.
