Job Description

AavantiBio is looking for a Procurement Agent II with contract review and negotiation experience to support the processes that fall under the responsibility of Procurement. This role coordinates with team members, Requestors, Legal, vendors, and other functional groups as needed to support the procurement workflow, maintenance and reports, new vendor set-up, and other duties as needed. The company’s main areas of procurement are research & scientific equipment, consumables, and services.  The ideal candidate will possess a high level of attention to detail, ability to multi-task and juggle priorities, as well as thrive in a team-based, collaborative environment, and is excited about the opportunity to grow and develop as part of an accounting operation of an exciting fast-growing pre-IPO company.  This individual will report to the Controller with a dotted line to the Director of Legal and will be based in Gainesville, FL.

Responsibilities including but not limited to: 

  • Perform 3-way match PO, PO receipt to invoice reconciliation
  • Support, create, maintain, analyze, expedite, and report backorder status
  • Purchase Requisition Process– Following the request from the Requestor, access finance system (NetSuite) and create PR or change order to the PO; using the payment schedule/quote as a reference, enter required lines items in NetSuite. Ensure that all line items are properly categorized to the expense type and aligned with the budget. Follow-up with approvers and Requestors as needed to ensure that PO is generated in a timely manner
  • Service Contract Requisition Process - Following the request from the Requestor, enter the contact information into the NetSuite ERP system to obtain financial approval. Using the payment schedule/quote/agreement as a reference, enter required line items in NetSuite. Ensure that all line items are properly categorized to the expense type and aligned with the budget. Verify executed contracts/amendments to ensure consistency and accuracy.  Ensure all the requirements are met before producing a PO
  • New Vendor Set-up – Receive New Vendor Request Form from Requestor – Upon receiving the completed request form, review for completeness and follow-up with Requestor/vendors as needed for additional information. Create a new vendor profile in NetSuite
  • Interface with Accounts Payable for resolving invoicing issues
  • Other duties as assigned


    • Bachelor's degree in business, accounting, or supply chain management is preferred 
    • 3+ years of relevant experience; research and biotech experience preferred 
    • Strong written and oral communication skills, including the ability to interface with people at all levels to support all other departments within the company 
    • Exceptional interpersonal skills, with a focus on listening and questioning skills 
    • Process management capability, in particular, the ability to drive workflow standardization and integration into technology tools 
    • Being detail-oriented, guided by quality and precision aspiration with strong performance culture while being cooperative and collaborative in a start-up working environment 
    • Proactive, responsive, and timely problem solver with outstanding project management skills, acute attention to detail, drives processes and deadlines 
    • Willingness to remain flexible and adapt to change as we continue to grow as a company
